Your phone greeting is often the first thing a customer hears. A clear, consistent voice makes a small business sound established, and with AI you can change a message the same day your hours change.
List every message your system plays: the main greeting, the menu, each department's prompt, after-hours, holidays, on-hold and voicemail. Writing them all in one project keeps the voice and tone identical across the whole call.
Callers can only hold a few options in mind, so keep menus to four or five choices and put the most common first. Say the option before the number, as in “For appointments, press one”, so callers listen for what they want rather than memorising numbers.
A clinic or law firm usually wants calm and reassuring; a shop or gym, friendly and upbeat. Teach the voice how to say your business and street names using the pronunciation list. If you want a voice no competitor has, design one from a description.
Export the prompts as WAV or MP3. Most phone systems and hosted PBX services accept both; if yours needs a specific format, its upload tool usually converts it.
When something changes, open the project, edit the line and regenerate it in the same voice. No new recording session needed.
A complete menu is usually around 200 words, so a few hundred credits. Because phone menus are business use, they need a paid plan, which includes commercial use.
